Understanding the Difference Between Display Name and Email Address

In Google Workspace, every user has both a display name (the full name shown in email headers, chat, calendars, and contacts) and a primary email address (the unique login identifier). You can also assign email aliases—alternate addresses that deliver to the same inbox. Deciding whether to update a display name versus changing the actual email depends on your objective. Display names are purely cosmetic; changing them has no technical side effects. Renaming the primary email address is more involved and can affect login credentials, SSO, and linked services.

Prerequisites and Considerations

  • Administrator Privileges: Only Super Admins or users with delegated user-management rights can rename accounts.

  • User Notification: Inform the user in advance, as their login name will change. They may need to sign out and back in.

  1. In the Admin console, navigate to Directory > Users.

  4. Next to Primary email, click Edit.

  5. Enter the new local part (everything before the @) and, if necessary, choose a different domain from your verified list.

  • Add permanent aliases: On the user’s account page, click Aliasing, then Add an alias. Enter the old or any other desired email address.

  • Configure forwarding rules: In the user’s Gmail settings, set up filters or forwarding in case you prefer separate mailboxes or to send specific messages elsewhere.

Step 4: Updating Groups, ACLs, and Shared Resources

After renaming:

  • Google Groups Membership: The Admin console automatically updates group membership with the new address.

  • Shared Drives and Documents: All file permissions follow the user’s account and will automatically reflect the updated email. You do not need to reassign ownership.

  • Calendars: Shared calendars remain accessible. Any event invitations sent to the old address alias will still arrive.

Step 5: Communicating the Change to Stakeholders

  1. Internal Announcement: Notify your team via email or chat that the user’s login and reply-to address have changed.

  2. External Contacts: Instruct the user to update business cards, email signatures, and any public listings.

  3. SSO and OAuth: If you use single sign-on or third-party apps, update the user’s profile in your identity provider to match the new email.

Troubleshooting Common Issues

  • Login Problems: If the user cannot sign in after renaming, ensure they are using the new email and that their password remains unchanged. Clearing browser cache or using an incognito window can help.

  • Email Delivery Failures: Verify that the old address is still listed as an alias. If it has lapsed, add it manually under Aliases.

  • Admin Console Errors: “Email address already in use” indicates a conflict. Check that no other user or alias occupies the new address.

  • Propagation Delays: Most changes take effect instantly, but in some cases may take a few minutes. If after an hour the rename still hasn’t applied, retry or contact Google Workspace support.

Best Practices

  • Batch Changes: When renaming multiple users—such as after a rebranding—plan a maintenance window and communicate in advance.

  • Alias Strategy: Use permanent aliases for any address the user might still receive mail on.

  • Documentation: Keep a log of original and new usernames for auditing and support.

  • Training: Provide a quick reference guide for users on how to sign in with their new email and update their profiles on mobile devices.

By following these steps, you can confidently update both display names and primary email addresses in Google Workspace with minimal user disruption, ensuring consistent communication and data continuity.
